Organizing your own Sets in the City program? Be sure to check out the information below for tips on how to make your event a success and flyers to help promote your event!
Online Registration
Complete our online registration form with event specifics. Event details will be posted online on the Sets in the City program page.
Prize Packages
The first 50 registered events will receive a prize pack which includes: 5 drawstring bags, 5 cooling towels, 5 keychains and 10 notepads while supplies last. Maximum of four prize packs per facility.
Organizer is in charge of advertising event
A Flyer Template is available to help in local promotion.
- SUGGESTION: post on Meet up, Twitter, Facebook, etc. (Posting on Meet up has proven successful!)
Organizer may host an event any time of year, any facility
- SUGGESTION: Make event open to public.
ADVERTISEMENT
Advertise “walk-ups welcome” so that people feel comfortable showing up at the last minute (the norm). DO NOT turn anyone away.
Organizer sets up registration
Players should sign up directly through the facility or organizer.
Organizer will determine the event format and cost
- SUGGESTIONS:Two hours is a good length of time.
- Cost is up to facility, but average is $15-20/person for two hours. (Maybe offer it free or as a fundraiser).
- Ask another person to help with the pairings of the players. If registration is near or over court capacity, ask a volunteer or pro to do a Cardio type drill court. This is a good idea no matter how many players are registered.
- Find out the levels of the players at registration. Divide into higher/intermediate/lower level.
- Ex- Courts 1 & 2 will be guys/girls from 5.0-4.0. Courts 3 & 4: 4.0-3.5. Courts 5 & 6: 3.5-3.0. Courts 7 & 8: beginners, etc... It is not fun for a beginner to play against an advanced player and vice-versa.

Other Tips & Information
The District League Coordinator or a District representative should be invited to attend and inform participants of USTA programs, including leagues, tournaments, Start/Restart (if applicable), and other community events. The DLC should follow up with participants and include District web link and contact info. Submit list of names to Zoy Avgerinos at USTA/Midwest zoy@midwest.usta.com.
ADDITIONAL SUGGESTIONS:
- Send a reminder to every registrant a day or two before the event.
- Ask your local USTA District office or area businesses for prize donations.
- The facility keeps the court fees from the event, so they can also offer some prizes. Ex - Free court time? Balls?
- Have a raffle for prizes and/or use prizes as targets for drills.
- Offer refreshments afterwards
