Administrative Assistant

A. PURPOSE OF POSITION:

To assist USTA Northern in its mission to promote and develop the growth of tennis. USTA Northern is looking for an Administrative Assistant to be responsible for handling clerical tasks in the USTA Northern office. ADVERTISEMENT The Administrative Assistant will be responsible for handling incoming phone calls and other communications, greeting clients and visitors, as well as a wide variety of secretarial support functions including managing files, updating paperwork and other documents, and performing other general office clerk duties and errands. This person will assist the Operations Manager with day-to-day project needs. This position must also have general knowledge of all USTA and USTA Northern programs and opportunities.

 

B. MAJOR RESPONSIBILITIES:

1. Serves as the main receptionist of the organization. Serves as a liaison between the section and external customers. Answer phone inquiries, direct calls, and provide basic company information.

2. Oversee mail deliveries, packages, and couriers.

3. Help organize and maintain office common areas.

4. Resolve office-related malfunctions and respond to requests or issues along with Operations Manager.

5. Perform clerical duties, take memos, maintain files, and organize documents; photocopy, fax, etc. as needed. Utilize word processing software to create, process and maintain a variety of documents and administrative records. Compose letters, correspondence, take staff meeting minutes, and memos for Executive Director, Assistant Executive Director, Operations Manager and other staff as needed.

6. Maintenance and periodic ordering of general office supplies.

7. Maintenance and periodic updating of the section's calendar of events.

8. Assist in planning company events, meetings, luncheons, and employee team building activities or special projects, including the USTA Northern Annual Meeting & Conference.

9. Organizing travel by booking accommodations and reservations needs for the Executive Director, Assistant Executive Director, and other staff as required.

10. Assist Operations Manager in day-to-day facility operations.

11. Perform other duties as assigned.

 

C. KEY PERFORMANCE INDICATORS (GOALS):

1. To perform the above major responsibilities in a timely, proficient and professional manner.

2. To provide exceptional customer service, both internal and external.

F. TRAVEL DEMANDS:

As requested - USTA Annual or Semi-Annual Meeting (as budget allows), Sectional meetings and events, as needed.

 

G. QUALIFICATIONS:

 High school diploma or GED.

 Computer proficiency including desktop publishing skills.

 Excellent communication skills, both oral and written.

 Experience as an administrative assistant or in related field.

Responsible to teach youth tennis skills to children 4 years old and up. Level 1 includes 4-6 year old beginners: Level 2 is for 7-11 year old beginners and Level 3 is for 7 year olds and up who would like to learn more intermediate and advanced skills and strategy through games, drills and demonstrations. Classes meet twice per week for 3 weeks. Job tasks include teaching and demonstrating tennis skills and providing for the safety of the children. Previous teaching experience preferred.

University of Minnesota Club Tennis Team
Head Coach

The University of Minnesota Club Tennis Team is looking for a coach for the 2018-19 season to assist the team in its mission to create a fun and competitive tennis community on campus. The coach is expected to provide tennis instruction to all students on the team, come prepared to each practice with a plan that includes both drills and games, assist students in technique and strategy and work and communicate with the executive board. The team practices two nights a week, and the coach is expected to attend all practices and also has the option to travel with the team, but traveling is not required.
