Community Administrative Coordinator | Part-Time/Hybrid

 

OVERVIEW: The Community Administrative Coordinator plays a key role in ensuring smooth daily operations in the Community Department by providing organizational and logistical support to the Community team. This position requires a proactive, detail‑oriented individual who can manage multiple priorities and contribute to a positive and efficient work environment.

 

KEY RESPONSIBILITIES:

 

  • Utilize Google Suite tools and other USTA-provided software (Serve Tennis, Canva, Tableau, Salesforce, Zendesk) to maintain organized filing systems, documents, and records in order to:
    • Track Grant Accountability.
    • Maintain records on Staff and Volunteers SafePlay status.
    • Verify USTA organization memberships.
    • Order equipment and supplies.
    • Assist with planning meetings, events, and coaching workshops.
  • Attend USTA Coaching workshops, state park & rec conferences, state SHAPE conferences.

  • Write Grant Award letters.

  • Troubleshoot minor technical issues and support digital organization.

  • Identify opportunities to streamline processes and improve efficiency.

  • Other duties as assigned.

     

QUALIFICATIONS:

  • Highly organized and detail‑oriented with strong written and verbal communication skills.

  • Ability to manage time and multiple tasks while collaborating with an in-person and remote team. 

  • Proactive and solutions‑focused with a customer‑service mindset.

  • Team‑oriented and collaborative.

  • Discreet and professional with confidential information.

  • Tech‑savvy and process‑minded.

  • Able to multitask without sacrificing accuracy.

  • Adapt to shifting priorities and manage last‑minute changes with composure.

  • Proficient in Google Workspace (Docs, Sheets, and Slides).

  • Dedication to encouraging inclusion and respect for individuals from different backgrounds, identities and experiences.
